The New Jersey Department of Environmental Protection faced this in its inspection process. Inspectors conducted fieldwork on paper, then entered data into a separate system, creating delays and inconsistent reporting.
A mobile, integrated system has restructured the workflow. Inspectors access historical data in the field, capture information during inspections, and submit reports in real time. Data flows directly into the department’s environmental management system through a single interface.
Inspectors save approximately 20 minutes per inspection, and the department has recovered more than 3,800 hours within a single program. These gains come from removing the handoffs between fieldwork and reporting, where time is typically lost and data becomes inconsistent.

A significant share of workload in state environments comes from fielding routine questions about existing information.

The Nebraska Department of Motor Vehicles introduced an AI assistant to guide residents through common questions. Within three months, the system handled nearly 1,000 inquiries per day and engaged 59% of website visitors.
Time spent navigating the website has decreased by 10% and call volumes have dropped by roughly 20%. More routine demand is now resolved within the digital experience, reducing reliance on staff as intermediaries.
What Changes When Systems Work as One
Across these examples, a consistent pattern emerges: efficiency gains are tied to how work moves between systems. When systems share information directly, the need for manual coordination drops, and demand begins to shift away from staff and into the system itself.
As coordination effort decreases, improvements extend beyond individual workflows. Access to information reduces call volumes. Integrated workflows reduce reporting time. Consistent data improves oversight. For large, multiagency environments like state governments, this compounding effect yields sustained efficiency improvements.
Achieving that outcome depends on how systems function together over time. It requires interoperability, shared data, and consistent user access across functions. Establishing that level of alignment requires coordination across systems that are often procured, implemented, and managed independently.
