Challenges

Compared to their neighboring districts in the Philadelphia suburbs, Hatboro-Horsham School District (HHSD) has a close-knit, mom-and-pop feel. In a community where everyone knows your name, collaboration and support are inherent to the district’s culture. While that culture positions them well for effective adaptation to change, it can also mean one individual can have an outsized impact on district operations.

For 30 years, HHSD used the same financial and HR system, which was configured and managed by a skilled programmer at the district. “When he retired about three years ago, we quickly realized the magnitude of what he had been doing and how dependent every department was on his reporting expertise,” said Michelle Pollock, PIMS (Pennsylvania Information Management System) and business applications analyst at HHSD. Without this institutional knowledge, the district lost on-demand access to reports, and decision-making was slowed. “We needed to shift from reliance on one individual to a system that empowered departments to access and interpret their own data,” said Pollock.

Solution

This approach led to deeper discussions and more thoughtful system design,” said Pollock.

From there, testing was key. “We conducted extensive testing with administrative staff before going live,” Pollock said. “They provided valuable feedback that led to important refinements and retesting.” Pollock’s work to keep users informed on updates and progress, plus giving them an active role in system testing, made the change to a new system more manageable for everyone. Pollock said, “One staff member initially said they might retire rather than learn a new system. They ultimately became one of our most proficient users — proof that the system is accessible and that support makes a difference.”

Results

Since adopting School ERP Pro, Pollock has gained confidence in the district’s readiness for future challenges. “The ability to easily gather accurate data from multiple sources is critical for any district,” she said. “Funding requirements and reporting criteria continue to evolve.
