No-Cost Automation Streamlines Employment Verification
August 12, 2025 by Peter Weed
Taking precious time to verify income and employment has long been part of the job for government HR and payroll professionals. In the past, government workers’ applications for credit, loans, and government aid triggered time-sensitive requests to government HR teams. And the time needed to process those requests adds up.
Now, a new service for Tyler clients is helping save valuable time by more securely automating the confirmation process at no cost to employers.
Implemented to work directly with Tyler’s ERP solutions, Tyler’s Automated Income and Employment Verifications, powered by The Work Number® from Equifax®, is helping reduce or eliminate burdensome manual verifications, as a Texas school district has discovered.
Reducing a Labor-Intensive Process
“We have a lot of people who want to refinance their homes, especially in the summer,” says Hiram Burguete, director of payroll and benefits for Mission (Texas) Consolidated Independent School District (MCISD). “Employees start the process, and then they need to get verified for the application to prove that they have a job. In the past, they walked into our office, faxed, or emailed. And we always told them to give us three days to get back to them.”
Manually processing those requests was time-consuming.
“We’re talking about 25-30 every week, and once there were 50 requests. It can take from 15 to 30 minutes to process a request. The requests come in from a variety of sources, including walk-ins and faxes. With each confirmation taking up to 30 minutes to complete, those responses added up.”To reduce the burden, the district, which uses Tyler’s Enterprise ERP for finance and HR, opted into The Work Number, and the change has paid off.
In fact, The Work Number automated 1,053 confirmations during a four-month period.
“The biggest benefit for us is that you’re creating a streamlined process that allows your employees to find the time to do the work that matters, rather than on less critical work such as verifications,” says Burguete. “And the employees requesting verifications have much faster response times — within minutes, compared to three days.”
How The Work Number Automates Verification
The integration of The Work Number with Tyler ERP solutions empowers HR teams by providing automated income and employment verification requests from lenders, social service agencies, and other requestors, collectively known as verifiers. By providing verifiers with faster, more reliable access to employment and income data, The Work Number helps streamline the process for employees to access credit, housing, and government benefits.
Employers don’t pay Equifax or Tyler Technologies for this service. The service is usually funded by verifiers, who typically pay a fee for each verification, so there is no charge to the school district or local government.
Once a local government or school district opts in, implementation is nearly seamless — requiring only a simple activation to get up and running.
“The implementation was seamless for me, seamless for everybody. I didn’t really have to go through anything,” says Burguet. “We signed up, and Tyler and Equifax handled the rest. There’s nothing that you, as a payroll department, or anybody, has to do.”
The 5 Valuable Benefits of Automated Verifications
For the district, the results have been dramatic.
“Automating verifications enables us to focus more on our core responsibilities, whether it's answering the phone or providing customer service,” says Burguete. “We can concentrate on getting payroll out — completing Federal Medical Leave Act (FMLA) and payroll deduction tasks, and other work. The real value is keeping your staff solving real problems and doing the real work and not doing verifications that are going to take additional time.”
Benefits include:
- Easier employee experience. When employees apply for a loan or social service benefit, they typically won’t have to hassle with stacks of pay stubs or be slowed down by phone calls or emails to HR to verify their information.
- More timely decision-making. The verifier, such as a lender or social service agency, uses the data from The Work Number to help them make quicker, more informed decisions.
- Greater protection. Employee data is encrypted at rest and in transit and only shared upon request from a credentialed verifier with a required permissible purpose, which helps reduce risk over manual HR verifications.
- Increased efficiency. When HR professionals are freed up from providing manual employment verifications, they have more time for strategic work in support of their organizational mission.
- 24/7 availability. Automated verifications are available 24/7 to assist with weekend or after-hours needs.
- Governed by the Fair Credit Reporting Act (FCRA). The Work Number helps reduce the risk of errors, fraud, and unauthorized disclosures.
Ultimately, it’s all about leveraging technology to help optimize efficiency.
“You want less work added to your staff,” says Burguete. “We’re in the 21st century now. The faster you can automate things, the better.”
